Improving outreach and dissemination

Task 1 serves as a platform for information exchange among member countries.

The Task 1 team at Urban Foresight has been focusing on the delivery of the annual report, improvements to the external and internal websites, and delivering a strategic planning workshop to support the extension of HEV TCP.

Annual report

The annual report was successfully published and printed. This included a revised chapter template that was agreed upon during ExCo 57. The template was developed by the Task 1 team to improve readability and standardisation of content.

Website and social media

The Task 1 team has been publishing regularly about activities and news from HEV TCP, its members and related organisations. This includes promoting events, workshops, knowledge sharing, and collaboration.

The team has also been making systematic improvements to the responsiveness and functionality of the public website.

Members and partners are invited to follow HEV TCP on LinkedIn and X (formally known as Twitter).

Internal members’ website

The Task 1 team has been reorganising and improving the internal members’ website. This includes retrieving archived documents from task managers to ensure that these are available to members and on the public website where appropriate.

Strategic planning consultation

The Task 1 team ran a strategic planning consultation to support the work plan for the next phase of HEV TCP.

This included a questionnaire survey and strategic planning workshop.

A report will be prepared to summarise the findings of this consultation and shared with members.

Pilot to improve outreach and dissemination

A proof-of-concept pilot aimed at enhancing the outreach and dissemination endeavours of HEV TCP Task 1 will be run between ExCo 58 and 59.

A diverse range of activities and tools will be trialled, using various communication channels.

  • Newsletter - this newsletter forms part of the pilot. The objective is to experiment with a new format and to use an interactive digital platform to more effectively engage with HEV TCP members and wider networks.
  • Interactive annual report - digital options for the annual report will also be researched, with the intention of improving accessibility and impact.
  • Videos - concept videos will also be developed, initially focusing on interviews with task managers. The aim of these videos will be to communicate the mission and accomplishments of the task in a visually compelling manner.
  • Webinar - a pilot webinar will be held to test the potential to support tasks in their dissemination activities, broaden the reach of HEV TCP, and provide an additional point of engagement for HEV TCP members between ExCos.
  • Social media campaigns –trial campaigns to amplify the reach of HEV TCP, engagement with social platforms, and encourage participation in events.
  • Events partnerships – collaborations with organisers of relevant major events will be explored by the Task 1 team to foster greater visibility and engagement for HEV TCP members.

Results of the pilot will be shared at ExCo 59 in Jeju. HEV TCP members will be invited to provide feedback and to help shape a roadmap for future activities in Task 1.

HEV TCP cited as best practice

The Task 1 team was delighted to be cited as an example of best practice at the recent universal TCP meeting at IEA headquarters.

HEV TCP’s Task 1 was cited in the report on how to improve the outreach and performance of TCPs.

The horizontal format and design of HEV TCP website was identified as being in line with the codes of companies and news sites. This approach was recommended to all TCPs to improve the attractiveness and effectiveness of their online presence.

Several aspects of the annual report were also cited as best practice. This included:

  • The use of abstract illustrations on HEV TCPs Annual Report
  • Effective introductions that incite people to want to know more.
  • Classic summaries of content
  • Well-illustrated dividing pages.

The Task 43 final report (EV City Casebook) was also praised as “a document that ticks all the boxes in terms of enhancing the value of the work, combined with a will to involve the targets in a collective approach to progress.” This report was also developed by the team at Urban Foresight.

Fond farewell

Honorine N'Dounga recently left the Task 1 team to start a new role in Brussels. We wish her well in her future career.
